WELCOME TO TROOP TRACKER 2.3!
An OVERVIEW OF TROOP TRACKER
TROOP TRACKER is a menu driven program which stores valuable
information on the Scouts and Scouters of a Troop and presents that
information in various reports of use to the Troop during its operation.
Before any reports can be produced from the TROOP TRACKER program,
the user must give TROOP TRACKER certain data to process. This input
process starts by adding records to a troop roster. It is continued by
updating individual Scout or Scouter records with the details of
Advancement progression, Merit Badges earned, Troop and Patrol Offices
served, and information on any/all Training received. The process
continues by the addition of troop meeting Attendance for all troop
meetings held and relevant details from all Troop and Patrol Activities.
Depending upon the amount of data provided to TROOP TRACKER, the
program will generate Scout and Scouter rosters as well as a roster of
Former Troop members; three different types of mailing labels; an
individual record for each Scout or Scouter; an evaluation of how each
Scout stands in regard to the quantifiable requirements for advancement to
his next Advancement Level; an evaluation of a Scout or Scouter's
eligibility to join the Order of the Arrow; and an attendance summary for
all Scouts.
TROOP TRACKER requires 256K RAM and runs better on a hard disk
system, although it will run more than adequately on a double disk drive
system with High Density 5.25" drives or Double Density 720K 3.5" drives.
The number of Scouts/Scouters which the system can track is limited only
by the amount of storage medium; systemically, TROOP TRACKER is designed
to accommodate up to 499 Scouts and 500 Scouters before requiring a total
purging. It was designed (and is being used) by a currently registered
Scoutmaster.
SUMMARY OF CHANGES FROM VERSION 2.1 TO VERSION 2.3
Version 2.3 has been compiled using Clipper 5.1; this means that it's
faster. The very important relational indicators (Member numbers) have
been automated so that you don't have to remember which number goes where.
Most importantly, Version 2.3 supports 100 printers and contains imbedded
commands that will allow your printer to better present your information.

DEFINITION OF SHAREWARE
Shareware distribution gives users a chance to try software before
buying it. If you try a Shareware program and continue using it, you are
expected to register. Individual programs differ on details -- some
request registration while others require it, some specify a maximum trial
period. With registration, you get anything from the simple right to
continue using the software to an updated program with printed manual.
Copyright laws apply to both Shareware and commercial software, and
the copyright holder retains all rights, with a few specific exceptions as
stated below. Shareware authors are accomplished programmers, just like
commercial authors, and the programs are of comparable quality. (In both
cases, there are good programs and bad ones!) The main difference is in
the method of distribution. The author specifically grants the right to
copy and distribute the software, either to all and sundry or to a
specific group. For example, some authors require written permission
before a commercial disk vendor may copy their Shareware.
Shareware is a distribution method, not a type of software. You
should find software that suits your needs and pocketbook, whether it's
commercial or Shareware. The Shareware system makes fitting your needs
easier, because you can try before you buy. And because the overhead is
low, prices are low also. Shareware has the ultimate money-back guarantee
-- if you don't use the product, you don't pay for it.
TROOP TRACKER USE AGREEMENT
TROOP TRACKER is a "shareware program" and is provided at no charge
to the user for evaluation. Feel free to share it with your friends, but
please do not give it away altered or as part of another system. The
essence of "user-supported" software is to provide personal computer users
with quality software without high prices, and yet to provide incentive
for programmers to continue to develop new products. If you find this
program useful and find that you are using TROOP TRACKER and continue to
use TROOP TRACKER after a reasonable trial period (30 DAYS), you must make
a registration payment of $35.00 (PLUS $1.75 SALES TAX for Residents of
the State of Maryland) to ROBERT BARRENTINE.
The $35.00 registration fee will license one copy for use on any one
computer at any one time. You must treat this software just like a book.
An example is that this software may be used by any number of people and
may be freely moved from one computer location to another, so long as
there is no possibility of it being used at one location while it's being
used at another. Just as a book cannot be read by two different persons at
the same time.

first contact ROBERT BARRENTINE at the address below for authorization.
This authorization will be automatically granted to distributors
recognized by the (ASP) as adhering to its guidelines for shareware
distributors, and such distributors may begin offering TROOP TRACKER
immediately (However ROBERT BARRENTINE must still be advised so that the
distributor can be kept up-to-date with the latest version of TROOP

1.0 RUNNING SETUP FOR TROOP TRACKER
1.0 SYSTEM CONSIDERATIONS. TROOP TRACKER will operate better if
your CONFIG.SYS file contains these commands:
FILES = 20
BUFFERS = 20
Additionally, the PATH command in your AUTOEXEC.BAT file should allow for
a search of both drives [PATH = A:\;B:\], if on a double drive system. The
PATH statement for a hard disk system need not include the TRACKER
subdirectory, but may do so if that is your desire.
1.1 SETUP.EXE, included on the installation diskette, is a
program that should be run prior to attempting to run TROOP TRACKER.
SETUP will ask you certain questions that it needs to build the various
constants that will be referred to during the running of the TROOP TRACKER
program.
1.2 MAKING BACKUP COPIES OF TROOP TRACKER
1.2.1 Double Disk Drive Systems. If you will be running TROOP
TRACKER on a double disk drive system, make backup copies of the
distribution diskettes BEFORE running SETUP. This will allow you to run
SETUP at a later time should you move or purchase a computer with
different storage medium configurations. There are no hidden files on the
distribution diskette(s) so that you may use either "COPY" or "DISKCOPY"
to copy the files. Store your distribution diskette(s) somewhere safe
until you need them again.
1.2.2. Hard Drive Systems. TROOP TRACKER is designed to operate on
any ONE subdirectory of a hard disk system; the writer recommends using
"TRACKER" but the naming of this subdirectory is totally up to the user.
Once the subdirectory is created ["MD <subdirectory name>"], move to that
subdirectory ["CD <subdirectory name>"], and copy all files ["COPY A:*.*",
once for each diskette] into that subdirectory. Store your distribution
diskette(s) somewhere safe until you need them again.
1.3 RUNNING SETUP.EXE. If installing TROOP TRACKER on a hard
disk, simply type "SETUP <cr>" while in the subdirectory which contains
the TROOP TRACKER files. If installing TROOP TRACKER on a double disk
drive machine, ensure that the disk with TRACKER.EXE is in drive B and the
disk with SETUP.EXE is in drive A.
1.3.1 RESPONDING TO SETUP. Install will ask you for your Council
and District names. After you respond to these questions, SETUP will ask
for your Unit and Number; here you should type in either "TROOP nnnn" or
"POST nnnn" (where nnnn is the national number assigned to your unit).
SETUP will then ask if TROOP TRACKER will be running on a hard disk
system. Respond "Y" or "N", as appropriate. If you are installing TROOP
TRACKER on a hard disk, SETUP will ask for the drive and your preferred
backup drive. SETUP will then repeat the information you have typed in
to insure that what you see is what you want. Type "Y" to accept the data
or "N" to return SETUP to a place in the program where it will request
the data again.

1.3.2 WHAT IS SETUP DOING? All that SETUP is doing is creating
a file [IDENT.MEM] that will be invoked during the running of TROOP
TRACKER so that TROOP TRACKER will know where it is to operate and how to
refer to your council, district, and unit.
1.4 RUNNING TROOP TRACKER. To run TROOP TRACKER, type "TROOPTRK
<cr>" at the prompt.
2.0 ADDING DATA TO THE TROOP TRACKER TROOP ROSTER
2.1 Mechanics of Adding Data. With the TROOP TRACKER Master Menu
on the screen, simply press the "1" key to initiate the add data process.
If, having pressed the "1", you then decide you don't want to add a record
to the roster, press the "Esc"ape key in the First Name & Initials field
and then <cr> through the rest of the record and press "E" for exit at the
end of the record.
** 2.1.1 TIP: Throughout TROOP TRACKER, keep the CAPS LOCK function of
your computer ON. While most of the sorting done throughout TROOP TRACKER
is date related, the reports produced will be more uniform if all letters
are in upper case throughout. This is not, however, a requirement for
entering data in any field as TROOP TRACKER converts data to upper case
where that is required.
2.2 Discussion of the contents of the various fields in the Troop
Roster dataset. While many of the fields in this record are self
explanatory, there are a few which require expansion. For some fields,
this expansion is simply in the form of tips while for others there are
some system requirements. Please read these carefully.
2.2.1 RECORD. This is a machine-generated field which simply
tells you how many records are in your dataset.
** 2.2.2 DATE. This is a machine-generated field which simply
tells you the date your machine believes it is. NOTE: Some operators
lazily do not insure that their computer has the correct date and time on
the system clock before they begin work. TROOP TRACKER uses the system
clock to fill a field in the Troop Roster which indicates when the Scout
or Scouter concerned joined the unit. This field is later used to compute
data on advancement requirements and when transferring a Scout or Scouter
from the active to the Former Member dataset. PLEASE INSURE THAT YOUR
SYSTEM CLOCK IS CORRECT PRIOR TO STARTING TROOP TRACKER.
2.2.3 FIRST NAME & INITIALS. Self explanatory. Note the
comments in 2.1 regarding aborting data entry.

2.2.4 FAMILY [or LAST or SUR-] NAME. Self explanatory.
2.2.5 ADDRESS, CITY, STATE. Self explanatory.
** 2.2.6 ZIP, PLUS4, AREA CODE, TELEPHONE. Self explanatory.
Notice that the space for area code is larger than most area codes. This
might give you space for telephone and extension, in area code and
telephone number slots, if the area code is known and will never change;
maximum characters in the area code blank is 7.
2.2.7 TROOP DATA. Self explanatory. Advancement date should
be written as YYMM [e.g., 8902 for February 1989.].
2.2.9 FAMILY DATA. Self explanatory. The Telephone numbers
allow for a 5-character extension as well as an 8-character telephone
number.
3.0 EDITING TROOP TRACKER TROOP ROSTER RECORDS
3.1 Mechanics of Editing TROOP TRACKER Records. With the TROOP
TRACKER Master Menu displayed, press the "2" key and TROOP TRACKER will
present you with a menu from which to select the dataset to be edited. You
will be prompted for the name of the individual whose record you wish to
edit. A <cr> at that prompt will take you back to the TROOP TRACKER Main
Menu. If you type in some Scout or Scouter's name at the prompt, TROOP
TRACKER will find that individual's roster record and display it on the
screen for editing. A side benefit of this editing process (for ROSTER.DBF, only)
is that, once you're in the dataset in the edit mode, you can move
around the entire roster and edit records as you wish.
** 3.1.1 This ability to move to all the records in the roster dataset
is extremely useful for editing the begin dates for members of the unit.
In section 2.2.2, we mentioned that TROOP TRACKER uses the system clock
and that one of the uses of the system clock is to add data to this
BEGDATE field. Since you will be entering all members of the unit at one
or two sittings in order to get this system up and running, before you get
too far into using the system you want to remember to edit these BEGDATEs
to the correct dates for each member of your unit.
4.0 DELETING A MEMBER OF YOUR UNIT FROM TROOP TRACKER
4.1. Mechanics of Deleting a Member of the Unit from TROOP TRACKER.
At the TROOP TRACKER Main Menu prompt, type in the number "3" to activate
the deletion module. WARNING: BE SURE THIS IS WHAT YOU WANT TO DO BEFORE
YOU PROCEED TOO FAR INTO DELETE.

** 4.1.1 This module will prompt you for the name of the individual
whose record you want to delete from the database. The system will go to
that record and verify that this is the individual you want out before
proceeding. Upon verification, TROOP TRACKER will delete ALL references to
that individual from all secondary datasets [e.g., Advancement Dataset,
Merit Badge Dataset, etc.] and will then move the name, date the
individual joined the unit [BEGDATE] and date you are making this deletion
into the Former Member Dataset. This is another reason to insure that the
systems clock is correct before entering TROOP TRACKER.
** 4.2 TIP: Do an edit of the individual to be deleted prior to
deletion to ensure that a member's BEGDATE, and name is as you want it to
appear in the Former Member dataset. Further, print two copies of the
individual's record with the troop (one for the individual and one for the
troop's records) before you delete the Scout or Scouter.
5.0 UPDATING AN INDIVIDUAL SCOUT OR SCOUTER'S RECORD
5.1 Mechanics of Updating and Individual Scout or Scouter's Record.
At the TROOP TRACKER Main Menu prompt, press the "4" to invoke the
portions of the program which will update the various secondary datasets.
You will be presented with a secondary menu in which you will be offered
the option to add to an individual's record for Merit Badges, Advancement,
Training, or Troop or Patrol Office held. You will also be given an option
to record Troop Uniform Inspection scores or to edit the ENDDATE for a
Scout or Scouter's term of office. Depending upon the option you select at
this second menu, you will then be prompted for various pieces of
information that the system will require to add data to a specified
dataset.
** 5.2 TIPS: Add all Skill Awards, Language Interpreter Strips, and
all non-BSA training an individual may have received to the Training
dataset. Add Arrow of Light and other appropriate awards [50 Miler,
International Activities, etc.] to the Training Dataset. This is one of
two datasets that TROOP TRACKER will search when you ask it for a printout
of all individuals with a certain skill. An individual's experience just
might serve as sufficient skill for some activities. Add all Order of the
Arrow elections to the dataset as though it was an elected or appointed
office. In this way, this information will appear on the Individual Record
when that report is printed.
6.0 ADDING A TROOP OR PATROL ACTIVITY TO THE DATABASE
6.1 Mechanics of adding a Troop or Patrol Activity to the database.
At the TROOP TRACKER Main Menu, select option 5. TROOP TRACKER will then
ask you for certain data regarding the activity to be logged, discussed
below, which will then be added to the ACTYLOG dataset. TROOP TRACKER will
then take you through the Troop Roster, asking you if each member did or
did not participate in the activity. Your responses to this query will
decide whether a particular individual's record is updated with the
activity information or not.

6.2 About the various fields in the ACTYLOG dataset.
** 6.2.1 Location. You will be asked, "Where did you go on this
outing?" The ACTYLOG dataset has allocated for the response to this
question a 20-character field which should give you enough room to
adequately describe the activity. If you should exceed the 20-character
limit, only the first 20 characters in your response will be included in
the dataset. TIP: If you wish to distinguish between Troop and/or Patrol
events, start each entry with either "T-" or "P-", as appropriate.
6.2.2 Date. You will be asked, "What date did you leave the
assemble area? (YYMMDD)" TROOP TRACKER will require a 6-digit date (e.g.,
900204 = 4 February 1990) and will use this date when reporting activities
by sorting on the date in the various printed reports.
6.2.3 Days and Nights. TROOP TRACKER will use the numbers you
provide here when computing advancement eligibility (Tenderfoot through
First Class) and when evaluating an individual for eligibility to join the
Order of the Arrow.
** 6.3 Tip. If you have Scouts who leave an event early, or arrive
late to an event, you can log their attendance as a separate event so that
their number of days and nights is accurate. Essentially, what you would
do is to repeat all relevant data entered for the first activity log
entry, except for the dates, which you would change to reflect the
different dates attended.
7.0 PRINTING ROSTERS OR LABELS
7.1 Mechanics of printing rosters or labels. At the TROOP TRACKER
Main Menu, select option 6 to activate this module. You will be presented
with a secondary menu that will offer you a selection of three different
label formats or three roster formats, discussed below.
7.2 Printing Rosters. TROOP TRACKER will prepare a roster of the
Scouts or Scouters in a troop which will include:

In addition to these rosters, TROOP TRACKER will also produce a
roster of former members of your unit which includes their name, the date
they joined the unit and the date they were removed from the troop roster.
7.2.1 The printing function invoked here includes an imbedded
command to your printer to use the compressed print mode. This allows
TROOP TRACKER to print four roster entries across a line of the printed
page.

7.3 Printing Labels. TROOP TRACKER is designed to produce labels
using labels of the following dimensions:
Label width: 35 characters (3.5 inches)
Label height: 5 lines
Left Margin: 0
Lines between labels: 1 (a total of 1 inch per
label)
Labels across the page: 1
TROOP TRACKER will print three types of labels:
7.3.1 A set of labels for all Scouts in the Troop addressed, "To the
Parents of " each Scout. These are envisioned to be used with newslet-
ters, committee letters, and other such mailings.
7.3.2 A set of labels for all Scouters in the unit. As with the
"parent" labels, these are envisioned for specific mailing purposes.
7.3.3 A set of generic return address labels. These labels, which
include the Council, District, and Unit identification are envisioned to
be used as return address labels where the returnability of the mailing is
irrelevant (since no real "address" data is included) or they can be used
to produce gummed labels for labeling unit equipment.
8.0 PRINTING/VIEWING SPECIFIED REPORTS
8.1 Mechanics of printing or viewing reports. At the TROOP TRACKER
Main Menu, select option "7" to activate the printing module. At the
secondary menu, select the desired report and respond to system prompts as
appropriate. In general, TROOP TRACKER is set up to deliver 75 characters
of print across a page with a 5 character margin.
8.1.1 Troop Attendance Report. (This report can either be viewed or
printed.) This is a summary report which analyzes the attendance record
for each Scout in the unit and reports that attendance in terms of a
percentile of all meetings recorded during a specified period of time.
TROOP TRACKER will ask for a begin and end date (both in a YYMMDD format;
e.g., 900204 = February 4th, 1990) and use those dates as the top and
bottom ends of the considered period of time.
8.1.2 Individual Scout (or Scouter) Record. (This report will only
be printed.) This report will print all details of a Scout (or Scouter) as
reflected in Troop records. The data is presented so that this report can
serve as a Transfer Sheet for an individual as it contains a place for a
certifying signature from the Scoutmaster.

8.1.3 Members with a Particular Skill. (This report can be either
printed or viewed.) To produce this report, TROOP TRACKER will ask for the
skill you are searching for. It will then search the Merit Badge dataset
and the Training dataset to see who in the unit has the desired skill. You
will be given a list of these people with the element of information that
made TROOP TRACKER select them. NOTE: Specifying the skill you will be
searching on is an acquired skill which is based, in part, on how much
data you have logged into the system on the skills your Scouts or Scouters
have received in training. As discussed in section 5, the more details you
insert in the training dataset the better you will be able to use this
function.
8.1.4 Evaluate a Scout for Advancement. (This report can be either
printed or viewed.) This report will print an objective evaluation of a
Scout's eligibility for advancement using the various criteria which can
be "counted" and is not intended to replace or supplant the valuable role
of the Board of Review in the advancement process. In fact, some leaders
may prefer to use this form as an "aide memoir" during the Scoutmaster's
Conference which proceeds the Board of Review.
8.1.5 Evaluate a Scout (or Scouter) for OA Eligibility. (This
report can be either viewed or printed.) This report will produce an
Advancement and camping time eligibility report which is designed to serve
as a screening device for use prior to OA elections. As with the
Advancement Evaluation Report, above, it is not intended to supplant the
electoral selection process.
9.0 UPDATING TROOP ATTENDANCE RECORDS
At the TROOP TRACKER Main Menu, select option "8" to activate this
module. Respond to the date prompt, using the now familiar YYMMDD format,
and then TROOP TRACKER will take you through the unit's Scout roster so
that you may mark all Scouts attending that specified meeting.
10.0 BACKING UP TROOP DATA TO FLOPPY DISK.
10.1 THIS PROCEDURE IS DESIGNED TO BE USED ONLY BY HARD DISK
SYSTEMS. Double floppy disk systems can achieve the desired level of data
security by simply copying the diskette with the various .DBF and .NTX
files onto a blank, formatted diskette using DOS.
10.2 Backing up data is a procedure that is seldom appreciated until
a tragic accident or electronic malfunction reminds people that they
should have backed up. WE STRONGLY URGE UNITS TO MAINTAIN SECURE COPIES OF
ALL DATA. In fact, we recommend that units maintain a two or three tiered
backup system so that you have a somewhat redundant backup disk
collection.

10.3 Before invoking this module, please ensure that you have a
blank, formatted diskette available. REMEMBER, write on the label before
putting the label on the diskette.
11. RECONFIGURING OR REDEFINING YOUR PRINTER INFORMATION
11.1 To activate the redefine your printer function, press the letter
"P" while in the TROOP TRACKER Main Menu. You will be prompted to input
the reference number that is used with your printer. The list of Printers
support by TROOP TRACKER and their reference numbers is located in Appendix
C.

Appendix C - Setting Up Your Printer
TROOP TRACKER has been designed to work with the printers listed below.
Upon running TROOP TRACKER for the first time, you will be asked to define
the printer that you will be using with this program. Select the printer
your system is using from the list of printers provided below and make a
note (mental or otherwise) of the number that has been assigned to that
printer. When requested by TROOP TRACKER, type in the number that
corresponds to your printer and TROOP TRACKER will make the various codes
that apply to your printer a part of its operating memory.
NOTE: If your specific printer is not listed below, consult your
printer's User Manual to determine which of the printers listed below are
the printers that are compatible with your printer. Some trial and error
testing will indicate which printer selection gives you the best results.
Should you ever changes your printer, select the menu option on the
TROOP TRACKER Main Menu which allows you to change your printer. After
consulting the list below, type in the number that corresponds to the new
printer that you are using. TROOP TRACKER will make the necessary changes
to the operating files and you may immediately begin to use your new
printer settings.
